Share a Car's Records, Run a Team Time Clock — and Places That Work Like Tools
My 2010 Honda Odyssey went to my nephew. He's the one keeping it up now, and I still want to know it's being looked after: when the oil was changed, what the tires cost, what the shop said about the transmission. Texting each other photos of receipts wasn't going to last. So the car's records can now be shared — and once that existed, a few other things came with it.
Share one record with one person
Open any tool, vehicle or place and you'll find a 🤝 Sharing drawer. Type someone's email and they get an invitation. The link works once, for that email address only, for 14 days. If they don't have a CraftedTracker account yet, the link lets them make one.
Once they accept, the record shows up on their dashboard under Shared with me. Here's exactly what that gives them:
- They see that one record — its whole maintenance history, costs included, its receipts, photos and documents. Nothing else in your account.
- They can add to it: log maintenance, scan or upload receipts, add photos and documents (the registration, the smog check).
- They can change or delete only what they added. The details, the tag, and whether strangers who tap it see its history stay yours. Every entry they add says who added it.
- The receipts belong to the record, not to the person. Whatever they add is filed with that record, in your account, so it stays with the car.
- Up to five people can share one record.
You can stop sharing whenever you like, and they can leave. When you stop it, you choose whether they keep a copy of the history — entries, photos, documents and receipt photos — in their own account. A copy is theirs from then on and doesn't change when yours does. Your record stays exactly as it is either way.
A time clock for a helper, or a driver
Share a shop door or an office, and the person you share it with gets their own clock there: start it when they begin, close it out when they're done, the same close-out screen you use. Share a vehicle and they run their own trips, with the mileage.
Their time is theirs. You see it on that place — the date, the hours, the miles, and who ran it. Then, per person, you decide whether their time also counts in your own time and mileage totals. For my nephew, no: it's his car now. For someone who works in your shop or drives for your business, yes — tick the box and their trips show up in your Time & Money and in the spreadsheet you download, with a column saying who drove.
Free during the beta — an upgrade after the new year
Sharing is free for every tester right now. After the new year, sharing becomes a paid upgrade. I'll post the details here before anything changes.
Everything else in this post — places working like tools, the history drawer, search, writing your own tags — is simply part of CraftedTracker.
Places now work like tools
A place — the shop door, the office, the car — used to be a row of buttons on the dashboard. Now it works like a tool: tap its name and its own page opens, with the same drawers a tool has. Its clock sits right where a tool's timer does. Edit its name and kind in Details, write its tag in Tag & QR, share it, delete it in the Danger zone. On the dashboard, the only button left on a place's row is its clock.
Tools got the matching change: every tool on the dashboard has its own Start timer, so you can start one without opening the tool first. You pick the project when you stop it.
And every tool and place now has a history drawer — Timer history, Clock history, or Trips for a vehicle. Every finished session is there, newest first, with a Fix button for the clock you forgot to stop on Friday. You can search it by project, by a date like "10/2026", or by who ran it, and it adds up the hours (and miles) of whatever you're looking at.
Search the maintenance history
When was the last time the tires were replaced? Type tire in the box above any maintenance history and you'll see "15 entries mention 'tire' — the most recent 09/22/2025", with just those entries listed. It works for oil, the transmission, a shop's name, a year. (That drawer is now called Status & maintenance.)
Write and lock a tag from the app
You can program any of your tags straight from CraftedTracker now — a tool, a shop door, the car. On Android in Chrome, open its Tag & QR drawer, press Write to tag, then hold a blank tag to the back of the phone. Locking is a separate red button, and before it locks anything it reads the tag in your hand and refuses one that carries a different link — so the wrong sticker on the bench never gets locked. The tag remembers how many times it's been written and shows 🔒 Locked once it is. (Apple doesn't let websites write NFC; on an iPhone, copy the tag's link into the free NFC Tools app.)
And a car's tag now asks first. Tap it and you get Anything to log? — log maintenance, scan or upload receipts, start a trip, or just look. The trip starts only if you choose it. Each tool and place has its own setting for whether its tag asks first or just gets on with it.
What gets shared, plainly
The person you share with sees your email address and that one record's details, history, costs, receipts, photos and documents; you see their email address and what they added. Receipts they scan are read the same way yours are, against their own monthly limit. The privacy policy has a new section, "When you share a record", with every detail.
If there's a car in your family, a helper in your shop, or a tool you lend out for weeks at a time, try sharing it while it's free.
CraftedTracker is in open beta — the founder rate ($4/mo or $40/yr, locked for as long as you stay) goes to the first 20 paid subscribers.
